Grating RFQ Specification Checklist

A complete RFQ produces comparable quotations and prevents suppliers from filling technical gaps with different assumptions.

Decision first

Mark unknown items as 'supplier to propose' or 'engineer to confirm'; do not silently omit them.

Check your RFQ information

Mark what you have prepared. This checks information completeness, not whether the data are correct or the design is safe. No score qualifies a project for manufacture.

Download a blank panel schedule

An editable plain-text template with project details and a repeatable panel record. Fill it in locally, use explicit units and keep unknowns visible. It contains no preset dimensions or load ratings.

Download panel schedule (.txt)

After preparing your records, open the quotation enquiry page. Downloading or copying does not send an enquiry.

Project and service information

State project location, application, indoor or outdoor exposure, operating chemicals or washdown, temperature range where relevant, access frequency and whether loads are pedestrian, equipment or vehicle-related.

  • Governing code, standard and drawing revision
  • Design load cases and serviceability criteria
  • Clear span and support material
  • Required design life or corrosion category if specified

Panel and fabrication schedule

Provide finished panel dimensions or an approved layout, not only the total square area.

  • Panel marks and quantities
  • Material and product type
  • Bearing-bar size and pitch or FRP product designation
  • Bearing direction
  • Surface and finish
  • Banding, nosing, toe plate and cutouts
  • Removable panels and fixing system

Inspection and documentation

List the records required with the quotation and order. Requirements vary by project, so documentation must be confirmed rather than assumed.

  • Product data and load tables
  • Shop drawings
  • Material certificates where required
  • Coating or inspection reports where required
  • Packing marks and document language
  • Third-party inspection hold points if applicable

Commercial and logistics inputs

State delivery term, destination, required packing method, unloading constraints, requested schedule and whether partial shipments are acceptable. Separate technical alternatives from commercial exclusions so the quotation can be evaluated fairly.

Delivery documents and discrepancy records

Prepare a shared record before dispatch so questions can be tied to an order, package and panel mark. This section organizes information; it is not a physical inspection procedure, acceptance certificate or authorization to install or use grating.

Agree the document package

Ask which packing marks, packing list, drawing revisions and order-requested records will accompany the shipment. Confirm the destination, delivery contact and any access constraints with the supplier. Packaging and documentation are order-specific; no particular packing method or certificate is promised by this guide.

Keep an index linking the order reference, package or bundle ID, panel marks and quantities. Use the blank panel schedule as the starting record. Identify accessories separately rather than assuming they are included with each panel.

Keep observations traceable

  • Record the shipment reference, location and date associated with the information.
  • Keep expected and recorded quantities in separate fields, with units and the source of the recorded count.
  • Link available label, packaging and product photographs to the relevant package or panel ID.
  • Describe the reported discrepancy without guessing its cause; mark unidentified items or missing information as unknown.
  • Log requested documents as received, missing, clarification requested or not requested. Receipt alone does not verify authenticity or conformity.

Prepare a focused follow-up

Group the order reference, affected identifiers, factual description and supporting files into one record. Log the person contacted, response reference and open questions. Ask the actual supplier or carrier for the applicable reporting channel and deadlines; this page does not establish liability or guarantee a claim outcome. Technical acceptance and release decisions remain with the responsible project reviewers.

Download the blank delivery record (.txt). Edit it locally and share only the information needed by the recipient. Downloading does not send a report.

Why these records are useful

Checked 4 September 2026: McNICHOLS' packaging and logistics overview illustrates the need to discuss packing and delivery requirements. FedEx's US support page gives examples of shipment identifiers and supporting evidence. These are third-party examples, not GoGrating service promises or universal shipping rules.
